Title: Enabling Inventory
Post by: CafeCuppio on March 23, 2012, 01:30:10 am
Hi,

I saw a couple of postings scattered around in the forum, but nothing concrete explaining from the beginning to end on how to get the whole inventory section going.

From what I understand is the process is this:
- You first add inventory items ....
- Then you create recipes to map inventory to a product ....
- Lastly you use Transactions to add inventory ...

Adding Inventory Items:
Inventory Item Name - This is for example a can of Coke like, Coke 330ml
Group Code - Is this like a category like Canned Drinks, or the Supplier ??
Base unit - I inserted "Can"
Transaction unit - I inserted "Case"
Transaction Unit Multiplier - I insert "24" (24 cans in a case)

Adding the Recipe:
Recipe Name: Coke 330ml
Product: Select the Coke 330ml from Product List
Portion: Hmmmmm, noting to select and it want something selected?
Fixed Cost: Cost per can of Coke 330ml
Inventory Items: Unable to select Add Inventory.

So this is where I got stuck .. any pointers please?
Thanks

I think you have to select normal from the dropdown list.
It can contain portions like normal, 1/2 portion, child portion etc

Hi Cafecuppio,

You have to set up portions in management edit product. Its under portion prices.

Dafault portion is Normal, I just added the price to it, so the Normal portion is there.

Hi Cafecuppio,

Does that now mean you can set inventory correctly now?

Yes there is and that is where it gets interesting ... well, kind of..... I sell the same product in both the restaurant and in the take-away, but there is a price difference between the 2 departments. Should I have different names for the same product should they be used in both departments?

For using different prices on different departments you can use "price definitions"
Navigate to Management > Products > Price Definition List and add a price definition. For example "Take Away Prices" for Name and "ta" for Price Tag.

When you enter Price List editor you'll see a new column labelled as "ta" for Take Away prices.
After entering prices edit Take Away department and choose "ta" as Price Tag

When Take Away prices used cashier will see a little "ta" label next to prices.

As an alternative to automatic discounts  you can use this feature for defining discounted prices too. That will give the possibility of using different discount amounts on different products or totally disabling discounts for specific items.

Thanks Emre, this will be something for the weekend when the take away section is closed so that I can re-organize it all.

Emre, thanks the price definitions works great.

I did stumble onto another issue, 3 of the duplicate product I tried to delete gave the following error (see attachment) and then SambaPos crash.

I was exploring on the inventory part today.
Is there a easy way to upload the inventory items and create the transaction document, like Adding products in a batch.

Do we have some sample  inventory items, recipes and Transaction Documents, just to understand the meaning of how we should enter the data into those tabs.

Thanks Guys :-

Another question I have is, how do you adjust inventory, for example bread rolls, they are only fresh for one day ;)

It says that menu item attached to a printer map. Does it make sense? If not I'll have to request another backup :)

Hello, There is no batch inventory item creation feature yet. When all configuration completes sambapos will automatically create transaction documents from periodic consumption on work period ends. When needed you'll correct inventory values before starting a new work period.

We have sample data but they are in Turkish. I can publish if it helps.

Hi, when work period ends SambaPOS generates a document called Transaction Document. If you decrease bread roll inventory to zero, SambaPOS will distribute the wasted roll's cost to products which contains rolls. We call that calculation as "weighted average cost distribution" :)

For example on day start you have 3 bread rolls in your inventory. During day you sold two of them with "meat balls" product. That means when workperiod ends your roll inventory becomes 1. If you manually decrease roll inventory to zero SambaPOS will calculate "meat balls" portion cost as 1.5 roll consumed on each portion. If you have more products sold that contains bread rolls it will distribute cost to portions by recipe weight.

It is extremely useful when calculating consumption of inventory items such as oil or similar inventory items. For example while creating recipes we define 10gr oil for salad but in fact we can't know the exact oil amount used for salad. If you update physical oil inventory periodically (for example once a week) SambaPOS will distribute oil consumption difference to all products that uses oil weighted by the amounts we define in recipes. That means a product that uses 30gr. oil will cost more than the product that uses 10 gr. of oil.

Ideally you'll have best results if you adjust physical inventory daily but this is not practical. We recommend frequent adjustment for items that costs more like meat or some special drinks.

Back at the inventory ....
Okay, So I took stock of what I have, now I need to add the stock to the system.
Should I use Transactions since some of the stock are only a few left and purchased long ago. Or should I manually do the stock adjustment? If the stock adjustment, how and when can I do it, only after the end of 'n work period?

You'll use transaction documents for adding items to your inventory and you can create new transaction documents in work period. You can use it for adding your items on hand and you can enter an average cost.

You can only adjust inventory manually after ending a work period. This is useful for recording inventory difference when we count our inventory. So SambaPOS can understand which sales will be affected because of that adjustment.
